By submitting your data to the FDZ at IQB, you are making a valuable contribution to the in-depth and comprehensive use of the scientific potential of existing datasets. Please feel free to contact us to discuss the possibility of archiving datasets at our FDZ. In doing so, it is important to us to consider and balance the interests of both data producers and data users. We are currently conducting a study. What should we look for in data management?

Addressing questions about the usability of your own data for later re- and secondary analyses early on makes the work easier for everyone involved. Within the framework of the Verbund Forschungsdaten Bildung (VerbundFDB), we have developed materials together with our project partners DIPF and GESIS that show what special attention should be paid to when preparing and documenting data. You can access this information via the VerbundFDB website.

When should data be transferred to the FDZ at IQB?

In accordance with the guidelines for ensuring good scientific practice, data should be handed over before the project is completed. This ensures that if questions arise, there are still contact persons on site who have knowledge of the data. In addition, there are deadlines set by the funding agency that data providers must meet. In the case of studies on nationwide education monitoring, the data sets and accompanying materials are usually handed over to the FDZ at IQB one year after the publication of the main report in question or three years after data collection, according to the resolutions of the Standing Conference of the Ministers of Education and Cultural Affairs of the Länder in the Federal Republic of Germany.

Already during project planning and application, it is often expected that a data management plan specifies which data are to be handed over to whom and when. Please do not hesitate to contact us in this regard. Further information can also be found here.

In which form can data be transferred to the FDZ at the IQB?

Data sets should be transferred in a common data format (usually as SPSS files, but R, Stata or .csv formats are also possible in principle), documentation usually in MS Office or PDF formats (.txt format is also acceptable). Please also refer to our handout for data providers of large scale assessment studies as well as the instructions on the portal website of the VerbundFDB.

If your data are not fully documented, we will be happy to assist you with any outstanding work within our capabilities. Incomplete documentation does not stand in the way of data submission. We will be happy to discuss all details with you directly.

By what means can data be transmitted?

The data set(s) is/are transmitted by default via the central file transfer portal of the VerbundFDB, a joint project of GESIS, DIPF and IQB. To do this, you need to create a user account there. As part of the secure upload of the data, you will be asked to provide additional information about your study (metadata). This leads to a better findability of your data and thus to a higher visibility of your research activity. The research data are then securely stored at the FDZ at IQB and protected in the long term against loss, manipulation or unauthorised access.

How are the data made available?

Your research data are checked by us, enriched with further metadata if necessary and given a DOI, which makes them clearly citable. The FDZ at IQB then makes the data available to other researchers on request for subsequent use. Access to the data takes place under controlled conditions. For this purpose, the FDZ at the IQB concludes a data provision contract with you, in which the conditions for the transfer of the data are specified in detail. As a rule, these conditions include that data may only be used for scientific purposes, may not be passed on to third parties without authorisation and that data providers must be quoted correctly.

How can I prevent qualification work already in progress in my working group from being jeopardised by the release of the data sets?

It is possible to block specific research questions that are being worked on in the context of qualification theses. When you hand over the data to the FDZ at IQB, you hand over a list of concrete research projects currently in progress and the qualifiers who are working on them. These questions are then blocked for a specified period of time and cannot be processed by applicants. The standard period for such protection is two years and can be extended in individual cases. The extension should already be determined when the list is handed over so that reliable deadlines can be published on the homepage of the FDZ at IQB.

My data sets were generated a long time ago and their documentation is not complete. Can I get help with this?

In order to make your data available for re-analysis and secondary analysis, we depend on good and meaningful documentation material. You can find relevant information on the website of the Association for Research Data Education regarding the documentation capability:

Do you have questions about research data management?

The VerbundFDB provides with the Standardized Data Management Plan for Educational Research (Stamp) specific instructions for planning, implementing, and documenting data management activities - as well as a very good overview of all aspects of research data management (FDM).

Who writes a Letter of Intent?

According to many requirements of project funding agencies and funding conditions, projects must make their collected research data accessible after the end of the project for the purposes of subsequent use, transparency and traceability of the results. If, in the context of an application or approval procedure, it is necessary to prove that contact has already been made with a data centre in this regard, data producers are welcome to contact the Verbund Forschungsdaten Bildung (VerbundFDB), in which the FDZ at the IQB is a partner. The VerbundFDB and the data centres in the VerbundFDB agree to support the project in questions of research data management within the scope of their possibilities and to secure the data produced in the project in accordance with its collection policy and to make it available for subsequent use.
